Where a coach's week goes, and how CoachRack hands it back
Ask a personal trainer where the week went and the sessions are rarely the answer. The time goes on the jobs around them: reading what clients logged, replying, remembering who mentioned a sore knee, and writing next week. Here is one week in CoachRack, our coaching app for personal trainers, in the order a coach meets it.
Monday: start with what is left
Open the Clients page and each client has one line telling you what is left for them: sessions to review, check-ins to read, next week to approve. Whoever has the most waiting sits at the top.
You no longer hold that list in your head or rebuild it from a chat history on a Monday morning. The page has already counted it, so the first decision of the week is made for you: start at the top and work down.
Reviewing the sessions
Every finished session lands in one review queue. Each one shows what they did, set by set, against what you prescribed. If you wrote three sets of 8 and they managed 8, 7 and 6, that is what you see, line by line, without asking them.
When you have something to say, write a review note. It shows on their phone with the session it belongs to, even if they trained on a different day from the one you planned. They get one notification to say you have reviewed it. One, and never a nag.
Plenty of sessions need no note at all. Open it, read it, move on, and they still see "Coach has seen this". A client who logs a session and hears nothing back has no way of telling whether anyone looked. Now they can tell, and it cost you a few seconds.
Midweek: the things you would otherwise forget
A client mentions a wedding in three weeks. Another is due a change of exercises in week 7. Pin a private note to that day on your week. Only you see it.
When you want every reminder in one place, the Notes switch on the week lists every upcoming note you have written. The wedding and the week 7 change are there when those days come round, and not in a notebook in the car.
Messages sit inside the app as well. Each client has a private thread with you, with an unread count, so a question about Thursday's session is not buried between family group chats and supplier invoices. Threads are one to one: a conversation per client.
Sunday: approve next week
This is the part that used to take the evening.
In CoachRack you set how each client progresses once, as your own rules. Each week the app writes next week from what they logged. You read it, change anything you want, and approve it. Nothing reaches the client until you do.
So the Sunday job changes shape. You are checking a week that is already written from their numbers, instead of building it from a blank screen with last week's log open beside it. Your judgement stays where it belongs: the sore back, the busy month at work, the comp coming up. We do the maths, with your rules.
The same week, from the client's side
For Katie, training three times a week online, it is simpler still. Her sessions are on her phone. She trains and logs each set. A note from you appears on that session, or the line saying you have seen it. Next week turns up once you approve it.
We think that loop (train, log it, hear back) is much of what makes an online or hybrid client feel coached on the days you are not in the room with them. It also gives you something real to talk about when you are.
Who it is for
CoachRack is for personal trainers and the people they train: in the gym, on the track, in a garage, or online. If your week looks like the one described at the top, the quickest way to judge it is with your own clients and your own rules.
